Uploading your coach headshot
This guide walks you through uploading or updating your headshot on SportCerts. Your headshot appears on your digital coach card, which is what event staff use to confirm your identity at check-in.

Before you start
You'll need:
A photo of yourself saved on your phone or computer
Your SportCerts login
Photo guidelines:
A clear, recent photo (within the last year)
Face the camera
Good lighting
No sunglasses or hats
A plain background helps but isn't required
Professional, but a phone selfie works fine
Your headshot is for event staff to identify you at check-in, it doesn't need to be a studio portrait, just a clear photo of your face.
If you're a new Admin/Coach (during onboarding)
When you sign up for the first time, the headshot upload is built into the onboarding flow. You'll be prompted to add it after signing the Admin/Coach Code of Conduct.
After signing the Code of Conduct, you'll see the Upload Headshot step.
Tap Upload Headshot and choose a photo from your device.
The crop tool will appear with a circular overlay.
Drag the photo so your face is centered in the circle.
Use the zoom slider to adjust if needed.
Tap Save.
Continue to the next onboarding step.
If you skip this step, you can come back and upload your headshot from your coach profile anytime (see below).
If you already have an account (updating or replacing)
To upload a headshot after onboarding, or to update your existing photo:
Go to sportcerts.com and log in.
On your dashboard, scroll down to the Quick Actions table and click the "View My Admin/Coach Card" button.
Choose Coach Profile (or go directly to sportcerts.com/coach/profile).
Below the card you will see a table that says "Profile Photo", there you can replace the current photo by clicking the "Replace Photo" button.
After clicking the "Replace Photo" button, choose a photo from your device.
The crop tool will appear with a circular overlay.
Drag the photo so your face is centered in the circle.
Use the zoom slider to adjust if needed.
Tap Save.
Your new headshot appears on your coach card immediately and replaces any previous photo.
Where your headshot appears
Once uploaded, your headshot is used in:
Your digital coach card (visible to event staff at check-in)
Team staff lists (visible to parents on your roster)
Card packet PDFs that you download for events
It does not appear on public schedule pages or any external-facing website.
Notes
The crop is required. SportCerts uses circular profile photos throughout the app, so the crop tool ensures your photo will display correctly everywhere.
The new photo replaces the old one. Once you save, the previous headshot is removed.
Headshots don't need approval. Your photo goes live instantly — no waiting for review.
You can skip the headshot during onboarding and add it later from your profile, but you'll see a reminder banner on your coach dashboard until you do.
Troubleshooting
The Upload Headshot button isn't doing anything. Try refreshing the page. If you're on an older browser, switch to Chrome or Safari. The crop tool needs a modern browser.
The crop circle is cutting off my face. Use the zoom slider to zoom out, then drag to recenter. The circle stays the same size — you adjust the photo behind it.
The Save button isn't working. Check your internet connection. Large photos take a moment to upload, especially on slow connections. Wait a few seconds before tapping again.
My photo looks blurry after upload. Try uploading the original photo file rather than a screenshot. Higher-resolution photos crop better. Avoid heavily compressed images forwarded through messaging apps.
My phone won't let me select a photo. On iPhone, make sure your browser has photo library access in Settings → Privacy → Photos. On Android, allow the browser to access your media when it prompts you.
I skipped the headshot step during onboarding. How do I go back? You don't need to redo onboarding. Follow the steps above under "If you already have an account" — your coach profile has the same upload tool.
I uploaded a headshot but my coach card still shows a placeholder. Refresh the page. If it still shows a placeholder, try logging out and back in. If the issue persists, contact support.
FAQ
Why does SportCerts need a coach headshot? Event staff use it at check-in to confirm you are who you say you are. It's the same purpose as the photo on a player card.
Is the headshot required to finish onboarding? No, you can skip it and complete onboarding without one. But you won't be able to download a finished coach card until a headshot is uploaded.
Can I use a logo or graphic instead of a real photo? No. Your headshot must be a real photo of your face. A logo can be used for your team, but not for your personal coach card.
Can I update my headshot later? Yes, anytime. Just go to your coach profile and upload a new one — it replaces the old one.
Do I need a separate photo for each team I coach? No. Your single coach headshot is used across all teams you coach.
What about my staff (assistant coaches, team managers)? Each staff member has their own profile photo, uploaded separately. See the article on adding staff to your team.
Does my headshot need to be re-approved by an admin? No. New headshots go live immediately.
Can a parent or admin upload my headshot for me? No. Coach headshots are uploaded from your own coach profile only.
