Inviting parents to add their player to your roster

This guide goes deep on the team invite link — how to get it, share it, and troubleshoot common parent-side issues.


How the invite link works

Each team you create gets a unique invite link. When a parent clicks the link:

  1. If they're new to SportCerts, they sign up and add their child as part of the flow.

  2. If they're already a SportCerts parent, they log in and add their child to your roster.

  3. The player appears on your team's roster automatically — no work on your end.

The link works for any number of parents. Share it once and every family on your team can use it.


Before you start

You'll need:

  • Your SportCerts login

  • Your team already created

  • A way to share the link (text, email, group chat, etc.)


Steps

Step 1 — Get your team invite link

  1. Log in at sportcerts.com.

  2. Open your team from the coach dashboard.

  3. On the roster page, click Invite Parents or Get Invite Link.

  4. Copy the link.


Step 2 — Share the link with parents

Most coaches share the invite link via the team's group chat or email list. Sample message:

Hi families — please use this link to add your player to our SportCerts team roster:

[paste your invite link here]

If you're new to SportCerts, you'll sign up first and add your child during the process. The $15/year verification fee covers eligibility for all events for 365 days.

Reach out if you have any trouble.

You can adapt the message however you want — the key is making sure parents know it's required and that they understand the verification fee is a one-time annual charge.

Step 3 — Watch your roster fill in

As parents complete the flow, players appear on your roster automatically. Check your roster page periodically to see who's joined.

Step 4 — Follow up with stragglers

If a parent hasn't joined by your deadline, send a reminder. The same link still works — they don't need a new one.


Notes

  • The invite link doesn't expire. Share it once and use it all season.

  • You don't see who clicks the link unless they actually add a child. If a parent clicks but doesn't follow through, you won't get a notification.

  • Players appear immediately once the parent completes adding them.

  • Parents who already have a SportCerts account don't need to create a new one — they just log in and add their existing child to your team.


What parents go through after clicking the link

So you can answer parent questions, here's what they see:

  1. They land on a SportCerts page that confirms which team they're joining (e.g., "Add a player to Houston Hawks 12U").

  2. They log in or sign up.

  3. If they're new, they're walked through adding their child: name, date of birth, identity document upload, headshot upload, and the $15 verification fee.

  4. Once complete, the player is added to your team's roster.

  5. They're shown a confirmation and taken back to their dashboard.

Total time for a new parent: about 5 minutes per child. For returning parents adding an existing child, less than a minute.


Troubleshooting

A parent says the link doesn't work. Make sure they're using the most recent link you shared. If they're getting an error, ask them to take a screenshot and contact support — there may be a temporary issue with their browser or their session.

A parent says they're being asked to pay $15 again for a child they've already verified. That child's verification may have expired. Verifications last 365 days. Tell the parent to log into their dashboard to check the expiration date.

A parent says they don't have a SportCerts account. That's fine — the invite link starts the sign-up flow if they're new. Have them click the link and follow the prompts.

A parent doesn't have an identity document for their child. Birth certificates, passports, and state IDs all work. If they're stuck, point them to the parent help center article on uploading identity documents.

A parent's child shows on my roster but the verification is "Unverified" or "Pending." The parent has added the child but hasn't completed verification yet. Pending means the documents are uploaded but waiting for super admin review. Unverified means something is still missing. See the article on understanding player verification status.

A player I expected isn't on my roster. The parent hasn't completed adding the child yet. Follow up directly. The most common holdup is parents not finishing the payment step.

The invite link was shared accidentally with the wrong group / I want to revoke it. Contact support. Self-serve link rotation isn't currently available.

Can the same parent add multiple children using the link? Yes. They can run through the add-a-child flow once per kid.

What if a parent shares the link with another parent — can their child also be added? Yes. The invite link is shareable. Anyone with the link can use it to add a player to your roster.

Can I send the invite link by text or just email? Either is fine. Most coaches use group text, group chat (TeamSnap, GroupMe, etc.), or team email lists.

What happens if a parent uses a different team's invite link by mistake? Their child gets added to that other team's roster. The parent (or you) can remove the child from the wrong roster — see the article on building your roster.

Do I need to send individual invite links to each parent? No. One link, share with everyone.

Is there a deadline by which parents need to join? The invite link itself has no deadline. However, events have registration deadlines, and a player must be verified by the deadline to be eligible. Build buffer time into your communication — parents need a few days to upload documents and pay the verification fee.

Can I see a list of parents I've invited but who haven't joined yet? SportCerts doesn't track invite-link clicks. You'll need to compare your team's actual roster to your team list manually.
