This guide explains how players get onto your team's roster on SportCerts.


Who this is for

Admin/Coaches who have created a team and need to add players to the roster.


Two ways to build a roster

There are two main ways players get onto your team's roster:

  1. Invite parents to add their player. You send a team invite link, parents click it, and their player is added to your roster automatically. This is the recommended approach — parents handle their own player's verification, documents, and headshot, so you don't have to.

  2. Parents search for your team when adding their child. When a parent adds a child to their account on SportCerts, they can search for your team by name and join it directly. As long as your team is set up correctly, parents can find and join without needing a link from you.

Before you start

You'll need:

  • Your SportCerts login

  • Your team already created (see the article on creating a team)

  • A way to share a link with your parents (text message, email, group chat, etc.)


Steps to build your roster using a team invite link

Step 1 — Get your team invite link

  1. Log in at sportcerts.com.

  2. Open your team from the coach dashboard.

  3. On the roster page, click Invite Parents or Get Invite Link.

  4. Copy the link.

Step 2 — Share the link with your parents

Send the invite link to your team's parents through whatever channel you usually use:

  • Group text or chat

  • Team email

  • Snail-mail flyer (if you really want to)

Each parent only needs to click the link once. The link works for the whole team.

Step 3 — Parents add their players

When a parent clicks the link:

  1. They log in (or sign up if they're new to SportCerts).

  2. They add their child to their account if they haven't already.

  3. The child appears on your team's roster.

You don't need to do anything on your end — players appear on your roster as parents complete the flow.

Step 4 — Track progress

Check your roster page to see who's been added. Players who haven't been added yet won't appear; you can follow up with those parents directly.


What you'll see on your roster

Each player on your roster shows:

  • Name

  • Headshot (or a placeholder if not yet uploaded)

  • Verification status (Verified, Pending, Unverified, Expired, or Denied)

  • Date of birth (if shared)

Notes

  • You don't manage parents' accounts. Each parent has their own SportCerts login. You can see their players, but you can't edit a parent's account or their player's documents.

  • Your roster has no fixed size limit. Add as many players as you need. Some events may have their own roster size limits — check with the event director.

  • The invite link doesn't expire unless you choose to revoke it. The same link works all season.


Troubleshooting

A parent says they can't add their player to my roster. Make sure they're using the most recent invite link. If the link works but they still can't add a player, ask them to log out, log back in, and try again. If it still doesn't work, contact support.

A player shows up twice on my roster. Two parents may have each added the same child as a separate record. Contact support to merge the duplicate — don't try to fix it manually.

A player I expected isn't appearing. The parent probably hasn't completed adding the child yet. The player only appears once the parent has added them to their own account and used your invite link. Follow up with the parent directly.

A player's name or birth date is wrong on my roster. The parent controls those fields. Ask them to update the player's profile from their parent dashboard. If they can't fix it themselves, they should contact support.

I want to remove a player from my roster. On the roster page, find the player and choose Remove from roster. The player stays on the parent's account but is removed from your team. If the removal is permanent (player switched teams or stopped playing), this is the right approach.


FAQ

Do parents pay anything to add their player to my roster? The roster invitation itself is free. However, each player must be verified to be eligible for events, and verification costs $15/year per child (paid by the parent). Players can be on a roster without being verified, but they won't be eligible to play in SportCerts events.

Can I add a player directly without using the invite link? The invite link is the standard flow. If a parent isn't able to use it for some reason, contact support.

Can parents add their player to multiple teams? Yes. A player can be on multiple rosters across different teams.

What if a player switches teams mid-season? Remove them from your roster (see Troubleshooting). The new team's coach sends them an invite link to add the player to the new roster. The player's verification carries over — they don't need to re-verify.

Can I see who's joined my roster but hasn't uploaded a headshot or paid for verification? Yes — the verification status on each player's roster card tells you. See the article on understanding player verification status for what each status means.

Will I get notified when a new player joins my roster? SportCerts shows new players on your roster immediately, but you may not get a notification for every join. Check your roster regularly during signup periods.
